President's Message

Welcome to May everyone! I hope spring has finally sprung in your neck of the woods. In this month’s Scope & Content I’m excited to update you on some recent events and activities.

Planning & Priorities Meeting Update: April 12 & 13, 2024

The 2024 Spring Planning & Priorities Meeting took place on April 12 and 13. At this virtual meeting the Board met with various Committee and Working Group Chairs, and co-Chairs. We exchanged activity status updates, upcoming Board priorities, and identified areas for cross-committee collaboration.

April 14, 2024: Please join me in congratulating our very own Membership Services Coordinator, the lovely Maureen Tracey, on her 10 years of service to our Association. Warmest congratulations Maureen!! And a huge thank you for putting up with all our archival emergencies, brouhahas, and kerfuffles!! Your dedication, patience and assistance is, as always, tremendously appreciated.

Joint Statement Announcing Sponsorship Agreement

Artefactual Systems Inc and the Association of Canadian Archivists (ACA) Foundation are pleased to announce a two-year sponsorship agreement. The agreement, valued at $3000 over two years, will provide students and emerging professionals with increased access to the annual ACA conferences, with a special focus on students presenting on the topic of digital preservation and access. This sponsorship will provide dozens of students with access to the virtual ACA conference in June 2024, and will fully subsidize a student presenting at the 2025 conference in Ottawa.

The ACA Foundation thanks Artefactual Systems for their support of the Foundation, and the wider archival profession.

If you are a member who is a student, or precariously employed, please contact the ACA Office for a subsidized conference registration code. The Office can be reached at aca@archivists.ca 

ACA Members’ Input Session

Please mark your calendars for the upcoming Members’ Input Session scheduled for Wednesday May 29 @ 1pm-3pm ET / 10am-12pm PT.  As you may already be aware, this member focused meeting is an opportunity for YOU to speak directly to the Board – to ask questions, seek clarification, and/or submit ideas! We would love to hear from you! At this year’s session, the Indigenous Matters Working Group will also be presenting their work to membership; this work includes Caretaking Memory – A Resource Guide for Archival Practitioners Working in Indigenous Archives, the ACA’s Reconciliation Action Plan, and an Executive Summary of their assessment work. So please mark your calendars and send in your RSVPs!

Message from the ACA 2024 Virtual Conference Host Team 

Greetings from the Host Team! Some people say “good things come in small packages” but let’s face it, big things are pretty great too. And what could be better than a big roadside attraction?! As Alberta gets ready to host the next ACA Virtual Conference, we invite you to take a virtual tour of some of the BIG THINGS in Alberta! 

Here are a select few to get you started…. 

1. World's Largest Bumblebee - Fahler

Created in 1990 to celebrate the first annual Honey Festival, this bee stands 6 m (20 feet) high in the heart of downtown Falher and measures 7 m (over 22 feet) in length and 2.4 m (over 7 feet) in diameter.

    2. World's Largest Dinosaur - Drumheller

    Located in the “Dinosaur Capital of the World”, aka the Canadian Badlands, stands Tyra the world’s largest dinosaur. Tyra the T-Rex stands 25 m (85 feet) tall and 46 m (151 feet) long. She is 4.5 times bigger than a real T-Rex and can fit 12 people in her mouth at one time (if they dare to ascend the 106 stairs it takes to get to the top).

    3. Worlds Largest Oil Lamp - Donalda

    This lamp first lit up on July 1, 2000, to complement the extensive oil lamp collection (over 1,100 lamps!) of the Donalda and District Museum. The lamp stands 12.8 m (42 feet) high and 5.18 m (17 feet) wide at the base and lights up at dusk each night.

    4. World's Largest Beaver - Beaverlodge

    This Giant Beaver sculpture was unveiled on July 21, 2004, as part of the Beaverlodge 75th Anniversary celebration. The beaver itself measures 5.5 m (18 feet) long, 3 m (10 feet) wide and 3 m (10 feet) high.

    Members Input Session 

    Join the ACA Board of Directors on Wednesday, May 29, 2024, at 1 pm ET/10 am PT for the Members Input Session. This meeting will take place online, via Zoom. Supporting documents will be available online in the May Bulletin. 

    Institutional members are reminded to ensure that a designated delegate has been entered into your membership profile to ensure your delegate receives the details about ACA meetings. Members will have an opportunity to share their input and ideas during this meeting.

    ACA Hashtag Party 

    You’re invited to the ACA Hashtag Party! On the last Thursday of every month, the ACA Social Media Team organizes a hashtag party, which takes place virtually on Facebook, Instagram, X, and Threads. There is a different theme for each month, which we announce on social media and ARCAN-L in advance. On the day of the party, you can share materials in your collections related to that theme, tag us and use the hashtag, and we’ll re-share your post. The goal of the parties is to engage more with institutions across Canada, see what kinds of materials other institutions have, and promote weird, fun, and interesting items from your own collections. 

    Last month’s party took place on Thursday, April 25, and the theme was #ArchivesVolunteers! Thank you to everyone who joined this hashtag potluck – we really appreciated seeing you celebrate your volunteers and all the projects they have helped with. 

    The next ACA Hashtag Party will take place on May 30, 2024, and the theme will be #ArchivesFavouriteFormats. We are looking forward to seeing materials from your collections in unique and interesting formats, such as microfilm, textiles, broadsheets – or just your favourite item in any format! On the day, share your favourite format items, and don’t forget to tag us and use the hashtag so we can re-share your posts. 

    The upcoming themes for the ACA Hashtag Parties will be: 

    • June 27, 2024: ArchivesPlans 

    • July 25, 2024: ArchivesBigAndSmall 

    • August 29, 2024: ArchivesFrancaise

    International Archives Week #IAW2024ACA 

    International Archives Week (IAW) is taking place during June 3-9, and what better way is there to celebrate than with some #ACAHashtagParties!  

    The Public Advocacy and Awareness Committee (PAAC) and the ACA Social Media Team are banding together to host THREE BONUS hashtag parties during International Archives Week. The parties will take place virtually on Facebook, Instagram, X, and Threads, and this year the IAW theme is Emerging Technologies. 

    Each of the hashtag parties we throw during #IAW2024 will have a different theme. On the day of each party, post your content, tag us, and use the hashtags. Then follow the hashtags to see what your colleagues across the country are sharing. Feel free to participate in one, two, or all three!  

    Monday June 3: #OldEmerging #IAW2024ACA 

    • Share a record/document featuring old “emerging” technologies 

    Wednesday June 5: #InterestingEquipment #IAW2024ACA 

    • Most interesting equipment in your archives

    The Carr McLean 10% discount is available for both Individual and Institutional ACA members for the entire membership year. This discount can be applied to any order over $100 and is non-transferable.     Call for Volunteers

    If you are interested in volunteering, please sign up using the Volunteer Form. Please note, all volunteers with the ACA are required to abide by the ACA's Volunteer Code of Conduct.

    ACA Financial Review Committee (FRC) 

    The ACA’s Financial Review Committee (FRC) is looking for volunteers for a two-year term. The FRC is responsible for reviewing financial policy, budgets, and safeguarding the financial assets of the Association. These positions are open to all members. Early-career professionals looking for financial management experience may benefit greatly. If you have questions, please contact Kyle Pugh, treasurer@archivists.ca.

    Technology and Archives Special Interest Section (TASIS) 

    The ACA's Technology and Archives Special Interest Section is excited to invite you to its annual The Archives and Technology Unconference! TAATU is a yearly, casual, and informative event about archives and technology. Come present new ideas and work, and geek out about archives, tech, and digital culture! All are welcome – there is no need to be an ACA member or registered for the rest of the conference to attend! If you'd like to check it out and join us, please see this document for details and be sure to register for the event.

    Ancestry Continuing Education Award 

    The ACA Foundation is pleased to announce the 2024 winner of the Ancestry Continuing Education Award, Gifty Asamoah Gifty is a master’s student in Archival Studies at the University of Manitoba.


    "My MRP seeks to address the role of community archives in cultural preservation, particularly focusing on the perceptions of Ghanaian immigrants in Manitoba, Canada. While the importance of community archives for cultural preservation is recognized, there remains a lack of understanding regarding how individual migrant perceptions influence data collection and archival practices. Such is the case among the Ghanaian community in Manitoba, Canada, where evidence on the relevance of archives in their cultural heritage preservation, and how this shapes conscious efforts towards the creation of appropriate records keeping and archival systems is not significantly established. There is therefore a limited presence of archival records among these black communities, thereby threatening the preservation of their cultural heritage, identity, and collective memory. In response to this scholarly gap, my project seeks to adopt a case study approach to explore migrant perceptions on how archives and record-keeping can contribute to preserving culture and maintaining identity, particularly among Ghanaian immigrants in Manitoba."

    In the Field: The ACA Blog

    From municipal and federal government, to universities, from religious congregations to community organizations, archivists work in various settings. This year, the ACA blog, In the Field, is setting out to talk to archivists across Canada about the unique joys and challenges of their work environments. We will feature a different type of archives each month, with the objective of showcasing the rich spectrum of archival work.  

    The Archives Spotlights series continues this month. April’s theme, academic archives, has yielded thoughtful contributions about the particularities of archival work in this setting, from community collections at the Leddy Library Archives & Special Collections at the University of Windsor with Sarah Glassford, to the preservation of new technologies used in academia at Concordia University Library with Sarah Lake. 

    Since May 18th is International Museum Day, the spotlight will be on museum archives next month. Do you work in museum archives? Would you like to be interviewed by the In the Field blog to showcase your work environment and your recent projects? Check out past Archives Spotlights posts to get an idea of the format—and reach out by May 15 to blog@archivists.ca to participate in the series!

    S.I.S.A.R.O. invites you to a webinar exploring the work of the Muslims in Canada Archives (MiCA).

    NEDCC Webinars and Workshops

    The Northeast Document Conservation Center (NEDCC) specializes in conservation treatment, digital imaging, audio preservation services, and preservation training. Below are preservation training opportunities offered by the NEDCC in the upcoming months.

    Pathfinder – Accepting Submissions 

    Pathfinder: A Canadian Journal for Library Science Students and Early Career Professionals is excited to announce that they are now accepting submissions for their upcoming issue. They welcome original scholarship in the fields of library science, information studies, archives, and other related fields. 

    They are seeking contributions from current Canadian LIS or archival students, library tech students, and early career professionals (individuals that graduated from LIS programs within the last two years) who either graduated from a Canadian LIS program or are currently working at a Canadian institution.  

    This year, submissions will be accepted until Sunday, May 5, 2024. Authors are encouraged to submit early, when possible, to ensure sufficient time to review submissions. 

    Manuscripts of interest include: 

    • Original research 

    • Other scholarly papers (e.g., critical scholarship, position papers, case studies) 

    • Literature reviews 

    • Research posters 

    • Reflections 

    • Book reviews 

    • Teaching resources 

    • Conference reports

    Survey About Writers’ Use of Archives in Canada 

    The archivist at Mount Saint Vincent University is currently researching writers’ use of archives and archival materials for creative writing. As such, any fiction writer, whatever their preferred genre and whatever stage they are in their careers (published or non-published), is invited to complete an anonymous survey for the following study: Fiction and Archives: Creative Writers as an Archival User Group. 

    The purpose of this survey is to collect data from authors and creative writers about their experiences interacting with archival material and archival institutions. The goal is to understand if and how creative writers use archives as a source of information or inspiration during the creative process, and to understand any barriers or difficulties writers have when accessing archives. The results of the research will inform archival professionals about potential improvements to services and outreach for non-traditional archives users.     

    More information about this study can be found on the information and consent form located on the first page of the survey. Archivists are encouraged to share the survey with any creative writers who would make good participants for this study. 

    The survey will close on May 26 at 7:00 PM PT / 10:00 PM ET. Contact Alina Ruiz at alina.ruiz@msvu.ca with any questions.
