President's Message

Welcome to August, everyone!

I hope you and yours have been able to enjoy some of our summer season so far! I have several important announcements this month, so I’m just going to dive right in.

ACA Welcomes New Executive Director

As you know, our amazing Executive Director, Dr. Jo McCutcheon, is leaving us, and while she’s not going too far (she’s soon to become the new Executive Director of the Canadian Council of Archives), her departure has left a void in our Secretariat that needs to be filled. As such, on behalf of the Board of Directors, I’m delighted to announce the appointment of Dr. Gillian I. Leitch to the position of ACA Executive Director!

Gillian I. Leitch completed her PhD in history at l’Université de Montréal, exploring the ways in which the British population in 19th century Montreal expressed and organized around their identities. After a post-doc at the University of Edinburgh, she moved to Ottawa. She has spent the last thirteen years as senior researcher and analyst at CDCI Research. In this time, she has also served as archivist/historian of the St Andrew’s Society of Montreal, co-chair of the Science Fiction and Fantasy Area of the Popular Culture Association, and secretary of the British Isles Family History Society of Greater Ottawa. She has published extensively on British identity and immigration in 19th century Quebec/Canada, genealogy, methodology, and Doctor Who. Gillian is excited by the opportunity to be working with the Association of Canadian Archivists, supporting archivists and record professionals in their work. Her first day will be August 14, 2023.

Please join me in welcoming Gillian to the ACA! As well, just a gentle reminder and request for patience during this time of transition and learning – thank you!

ACA-ASA Reciprocal Agreement

For the past several months, the Board of Directors of the Association of Canadian Archivists and the Council of the Australian Society of Archivists have been working out the practical logistics of our reciprocal membership agreement. I’m pleased to announce that the ACA-ASA reciprocal membership agreement is now ready for implementation! Please read on for more information on how this agreement benefits ACA members and how you can become engaged in ASA activities.

What does “reciprocal membership” mean for me?

Benefits for ASA Members:

  • Access to all professional development opportunities offered by the ACA at ACA member rates
  • Open digital access to ACA’s Archivaria journal, both archived & current issues
  • Receipt of digital version of ACA’s monthly Scope & Content newsletter
  • ACA member rates on the purchase of commercially produced Association publications

    How do I take advantage of this reciprocal membership agreement?

    Simply fill out the ACA-ASA Reciprocal Membership form.

    Once filled and submitted, a copy of your application will go to offices of both the ASA and ACA. Within three (3) to five (5) business days, you will receive confirmation for membership and gain access to the members-only section of the ASA's website. You will begin to receive emails, correspondence, and invitations from the ASA. Also, be sure to watch for emails that may contain discount codes and other benefits of reciprocal ACA-ASA membership.

    Is there an extra cost to participate in this reciprocal membership agreement?

    Absolutely not! This reciprocal membership agreement was established as a benefit to membership for existing and future members of both the Association of Canadian Archivists and the Australian Society of Archivists.

      Reminder: Upcoming Changes to Membership Fees

      With our early bird membership renewal campaign just around the corner, I thought it prudent to remind members of the upcoming changes to our membership fees for 2024. Please see the ACA’s new fee structures below:

      Individual Membership Fees for 2024 based on salary bands

      • $0 to $19,999 = $75.00
      • $20,000 to $29,999 = $100.00
      • $30,000 to $39,999 = $150.00
      • $40,000 to $49,999 = $190.00
      • $50,000 to $59,999 = $235.00
      • $60,000 to $69,999 = $250.00
      • $70,000 to $79,999 = $265.00
      • $80,000 to $89,999 = $280.00
      • $90,000 + = $295.00
      • Student: $75.00 / 3 years
      • Retired: $125.00

      Institutional Membership Fees for 2024 based on number of staff

      • 0-5 = $285.00
      • 6-10 = $750.00
      • 11-20 = $1,000.00
      • 21-50 = $1,850.00
      • 51-250 = $2,750.00
      • 251-1000 = $16,000.00

      To revisit these discussions and remind yourself as to why these changes were voted in, please review the Individual Membership Fee Report (Nov. 2022) and the Institutional Membership Fee Report (Nov. 2022) as well as the “Motions for Membership Fee Changes” section proposed in the Oct. 2022 issue of Scope and Content.

      Call for Expressions of Interest: Program Team and Host Team Members

      With the ACA 2023 Conference now well and truly over, the Conference Planning Committee (CPC) is now turning its attention to the both the 2024 virtual conference (to be anchored in Alberta) and the 2025 in-person conference to be held in Québec. 2025 also happens to be the ACA’s 50th Anniversary year!!

      To this end, the CPC is seeking expressions of interest from ACA members who would like to try their hand at conference program planning or the organization of social events. To give you some idea as to the duties and responsibilities of Conference Host Team members and Conference Program Team members, please review the draft terms of references for both teams here. Any additional questions can be sent directly to me.

      So please consider stepping up for either Conference Program or Host Teams for 2024 or 2025. It’s a great opportunity to meet new people, develop conference planning skills, and contribute to the development of the most exciting ACA event of the year!

      Professional Competencies for Archivists Working Group (PCAWG)

      The ACA’s Professional Competencies for Archivists Working Group invites ACA members and non-members to participate in two virtual focus groups. The focus groups will provide feedback on the ACA’s draft Competency Framework. 

      What is a competency framework? A competency framework outlines skills required for a specific profession. The purpose of the ACA’s Competency Framework is to serve as a guide for career decisions and professional development planning, to assist employers in the recruitment process and training of staff, and to inform professional development curriculum.   

      The Professional Competencies for Archivists Working Group is hosting two virtual focus groups with a capacity of 15 participants for each meeting: 

      Tuesday, September 12 at 10:00 a.m. ET

      Wednesday, September 13 at 3:00 p.m. ET 

      Participants are expected to read the draft Competency Framework prior to the focus group and provide feedback during the virtual meeting. The virtual meeting will be recorded for note-taking purposes only. The recording will be deleted after notes are created. Identifiable information will not be included in the notes. 

      There will be additional opportunities to provide feedback on the ACA’s Competency Framework later in the fall.

      Nominations and Awards Committee

      The Nominations and Awards Committee would like to thank Dr. Heather MacNeil for her years of service on NAAC. We are grateful for her contributions in bridging major changes to the committee over the last four years and of course for providing invaluable knowledge of the history of the ACA’s awards programs. Your support on NAAC will be missed!

      In Memoriam: John Lund

      On July 5th, 2023, the archival world became smaller with the passing of John Lund at 54. John was most recently known for his work as a senior archivist at the City of Ottawa Archives and as a president of the Eastern Chapter of the AAO. He was also known to some from his time in Alberta at the City of Red Deer Archives or the Provincial Archives of Alberta and for others from his time studying at the University of Victoria or the University of British Columbia or as a mentor within and for our profession.

      No matter how one got to know John, they recognized his wandering punk-poet soul that came through no matter where John was or to whom he spoke. John was quietly passionate about his work, both professional and personal, and the words that have been left in remembrance of him only emphasise the loss to our community. He joins other respected names such as Terry Cook, Larry Dohey, and Bryan Corbett that we have also lost as a community.

      John was someone who would blush at hearing all the accolades and stories in his honour that have been told since his passing. He was kind, considerate, tempered, and generous with his time and knowledge, and his impact on the archival profession will not be lost. His presence at the Association of Canadian Archivists conferences will be missed by his friends and colleagues for years to come.

      Two quotes have been said that encapsulate John the most: “All these moments will be lost in time, like tears in the rain” (Blade Runner, 1982) and “there’s a bit of magic in everything, and some loss to even things out” (Lou Reed, Magic and Loss, 1992).


      ACA 2024 Virtual Conference - Program Team Volunteers Needed!

      The ACA, is still looking for volunteers for the ACA 2024 Virtual Conference to be hosted by the Province of Alberta. We are in need of that all-important Program Team Chair and Members to help us craft our theme, select presenters, session chairs and commentators, and oversee the delivery of program sessions over the duration of the conference. As the 2024 conference is virtual, no travel by Program Team volunteers is required, and the anticipated volunteer time commitment is between 2 to 2.5 hours per month. While still maintaining creative autonomy, the Conference Program Team will be supported in their work by the Conference Planning Committee – after all, a successful team is a group of many hands and one mind!

      ACA Hashtag Party

      You’re invited to the ACA Hashtag Party! On the last Thursday of every month, the ACA Social Media Team organizes a hashtag party, which takes place virtually on Facebook, Instagram, and Twitter. There is a different theme for each month, which we announce on social media and Arcan-l in advance. On the day of the party, you can share materials in your collections related to that theme, tag us and use the hashtag, and we’ll re-share your post. The goal of the parties is to engage more with institutions across Canada, see what kinds of materials other institutions have, and promote weird, fun, and interesting items from your own collections.

      Last month’s party took place on Thursday, July 27, and the theme was #ArchivesBeaches! We truly enjoyed celebrating summer with all the content you shared. Thank you to everyone who participated!

      The next party will take place on Thursday, August 31, and the theme will be #ArchivesLabour! Did you know that earlier this year, the ACA moved to add a Special Interest Section for records related to the labour movement in Canada? This hashtag party falls right before Labour Day, and we would love you to share records from your collections related to the labour movement, records related to people performing their jobs, or even behind-the-scenes content related to archival work and how you do your job! On the day, don’t forget to tag us @archivistsdotca on X, @aca_canada on Instagram, and @AssociationofCanadianArchivists on Facebook so we can see what you’ve got!

      Carr McLean Discount Available for 2023

      Ancestry Digitization Fund

      Notification of the Ancestry Grant Program 2023
      (Canada)

      During 2023, Ancestry is offering a series of grants to support the family history & archival community within Canada. 

      • 2 x Gold Grants up to the value of $100,000 CAD for digitization services to be awarded within Canada to assist with digitization within the archival & family history community. Also included is five years of free Ancestry access. The individual grants have a maximum value of $100,000 CAD but can also cover works of any lesser amount up to that total figure. The grant will be for imaging of records only, meaning that the services provided are for scanning of paper or microform collections.
      • 2 x Silver Grants up to the value of $25,000 CAD for digitization services to be awarded within Canada to assist with digitization within the archival & family history community. Also included is five years of free Ancestry access. The individual grants have a maximum value of $25,000 CAD but can also cover works of any lesser amount up to that total figure. The grant will be for imaging of records only, meaning that the services provided are for scanning of paper or microform collections.
      • 1 x Bronze Grant up to the value of $15,000 CAD for digitization services to be awarded within Canada to assist with digitization within the archival & family history community. Also included is five years of free Ancestry access. The individual grant has a maximum value of $15,000 CAD but can also cover works of any lesser amount up to that total figure. The grant will be for imaging of records only, meaning that the services provided are for scanning of paper or microform collections. The Bronze Grant can also be used for philanthropic causes that may not align to typical family history digitization.

      The grant submission period will begin on July 3, 2023, and your submissions are encouraged. The submission period will remain open until the end of August 2023.

      Fund for International Development of Archives (FIDA)

      The FIDA Board of Directors now invites all ICA members to submit proposals for projects and initiatives planned for 2024.

      What is FIDA?

      The ICA Fund for the International Development of Archives (FIDA) is a distinct programme of grants to support those projects that endeavour to develop an archive or to support individual archivists through career development, mentoring, and other methods to enable archives and their archivists to acquire professional and management competencies needed to manage the archives in their countries, regions, or communities.

      Who is Eligible?

      Applicants must be members in good standing of the ICA at the time of application or whose parent organization is already a member in good standing and will partner the applicant. Any ICA member from all categories may apply for a grant. Non-members or non-member organizations may partner with members to apply for project funding as long as an ICA member is a project lead.

      Interested in Applying?

      This year, there is one form for all applicants, available in English, French, and Spanish.

      ICH-Archives Symposium

      The Canadian Advisory Committee for Memory of the World (CCMoW) is delighted to host a one-day virtual symposium on September 19, 2023, of key stakeholders in intangible cultural heritage (ICH), archives, and research. Their goal is to foster an open, collaborative conversation on the theoretical and practical issues associated with the acts of “making, keeping, and using” ICH and the resulting documentary products, both Indigenous and non-Indigenous.

      The symposium will include presentations and participation from leading thinkers and practitioners on the following themes:

      • Concepts and theories: What is intangible cultural heritage? What is its value to “makers” or owners? What is the role of archivists (“keepers”) in the preservation of the documentary products of ICH? How do researchers (“users”) understand and use ICH and related archives? What are the gaps, overlaps, or intersections across these different perspectives?
      • Applications and practices: Who is or should be collecting ICH? How do existing practices – e.g., acquisition, preservation, access – support or hinder the care and use of ICH and archives? What cultural, legal, and practical challenges enhance or limit the making, keeping, or using of ICH and archives?
      • Intersections and connections: How can ICH and related archives be understood not just as “source material” but as evidence of individual and community culture and identity? How can “makers,” “keepers,” and “users” work together to strengthen relationships and achieve sustainable outcomes? Where do we converge or diverge? How can we build connections and forge alliances?

      What is Neuro-GLAM-orous Canada?

      Neuro-GLAM-orous Canada emerged from the success and elevated feelings around the Ontario College and University Library Association’s 2022 Neurodiversity in the Library conference when it was seen just how badly there needs to be a place for neurodivergent gallery, library, archive, and museum workers in Canada to share their interests, experiences, research, and support.

      Virtual Symposium on Intangible Cultural Heritage and Archives

      The Canadian Advisory Committee for Memory of the World is delighted to announce that registrations are open for the upcoming virtual symposium *"Building Connections and Forging Alliances: Strengthening the Intersections between Archives and Intangible Cultural Heritage."* The symposium will take place via Zoom on 19 September 2023, from 8:30 AM to 5:00 PM Eastern Daylight Time. Presentations and discussions will be in both French and English with simultaneous interpretation.

      The symposium is supported by The Canadian Commission for UNESCO (CCUNESCO), which oversees the Memory of the World Committee, and has received financial support from the Programme Commission of International Council on Archives (ICA PCOM), Heritage Saskatchewan, and Western University.

      Manitoba Indigenous Tuberculosis History Project

      The Manitoba Indigenous Tuberculosis History Project (MITHP) has released a draft version of the Missing Patients Research Guide, available in both a PDF and online format here.

      The goal with this archival research guide is to help people navigate archives and records while looking for information on burials of individuals who were sent away for tuberculosis (TB) treatment and did not return. MITHP is actively seeking feedback before a more final version of this Research Guide is released later this year. If you have information, comments or suggestions to share after reviewing the draft Research Guide, please email feedback to tbphotos@uwinnipeg.ca.

      Release of the 2021 Survey of Heritage Institutions

      The Department of Canadian Heritage is pleased to announce the release of the 2021 report on the Government of Canada Survey of Heritage Institutions (GCSHI), which collected financial and operating information for the 2020 data year on not-for-profit heritage institutions, including museums, art galleries, archives, historic sites, zoos, and botanical gardens. The 2021 survey recorded the initial effects of the COVID-19 pandemic and the associated public health measures, which forced the temporary closure of heritage organizations across the country.

      The Department would like to thank all heritage institutions who responded to the 2021 survey. Your input contributed to making the survey a success.

      Invitation to participate: Copyright Anxiety Study

      Please consider participating in the Copyright Anxiety in the Canadian Higher Education Sector Study.

      The study seeks participants who work at a post-secondary institution in Canada, whether or not their primary duties relate to copyright. If you volunteer to participate in this study, you will be asked to complete an online survey that is expected to take no more than 10 minutes. The survey closes on August 11, 2023.

      Eh Sayers podcast

      Canada reached an important milestone on June 16, 2023. For the first time, there were 40 million people living in Canada. That means that someone out there is the 40 millionth Canadian. But who is it? 

      Statistics Canada’s Eh Sayers podcast has published an episode entitled Will the 40 millionth Canadian please stand up? Laurent Martel, director of the Centre for Demography at Statistics Canada, joins the podcast to explore what demographic data can tell us about this person, as well as the implications of Canada’s changing demographics and how immigration, not fertility, has been driving Canada's rapid population growth.
